Invoice FAQs
Common questions about creating and sending professional invoices.
A professional invoice should include: your business name and contact info, client name and address, a unique invoice number, invoice date and due date, an itemized list of products or services with quantities and rates, subtotal, any applicable taxes or discounts, the total amount due, and payment instructions. A clear invoice reduces disputes and speeds up payment.
Net 30 means payment is due within 30 calendar days of the invoice date. Similarly, Net 15 = 15 days, Net 60 = 60 days. "Due on receipt" means payment is expected immediately upon receiving the invoice. For small businesses and freelancers, Net 30 is the most common standard. You can add early payment incentives (like 2/10 Net 30, meaning a 2% discount if paid within 10 days) to encourage faster payment.
It depends on your location, your client's location, and the type of goods or services. In the US, sales tax varies by state and often applies to physical goods but not all services. In the UK, VAT (currently 20%) applies to most goods and services for VAT-registered businesses. Always consult a tax professional to determine whether you're required to collect and remit sales tax or VAT.
Click the "Print / Save as PDF" button, then in the print dialog, change the destination/printer to "Save as PDF" (Chrome/Edge) or "PDF" (Safari/Firefox). This creates a clean PDF of your invoice without any browser UI elements. You can then email the PDF directly to your client. This works on all modern browsers on Windows and Mac.
